Volunteers are always welcome at NMYL, whether as Board Members, coaches, or in other capacities. If you are interested in helping the Club please contact Jim Luchsinger through our contact formLacrosse experience and knowledge is preferred but not required for coaching positions. No Lacrosse experience is necessary for all other volunteer positions.

President (voting)

  • Oversight on execution of Mission Statement
  • To promote fun, healthy, quality sport for all membership
  • Influence and build club awareness to public
  • Final decision maker on guidelines, rules, issues
  • Run board meetings, report to CONNY and USLacrosse district
  • Responsible for growth of lacrosse program
  • Oversee financial growth of club
  • Creating new incentives – lacrosse or financial based
  • Oversee all elements of lacrosse related activity and volunteers, committees, position head

Vice President (voting)

  • Primary objective is to ensure that the NMYL has an established organization that supports the mission of the Club. Included in this is the Operational Business, lacrosse Philosophy, Executive Direction and Fiscal discipline to maintain an effective Club, that is positioned to support youth lacrosse into the future
  • Participate in NMYL Business via monthly Board meetings
  • Primary NMYL Disciplinary Officer
  • Liaise with New Milford HS lacrosse
  • Oversee uniform / apparel contracts
  • Supports escalations of parent / player / coach disputes

Treasurer (voting)

The Treasurer is an executive officer of the NMYL Board responsible for all payments, deposits and receipts in the accounts approved by the Board in the name of this Club.

Objective: To ensure that a financial management system and reporting system is put in place and operable so the Club committee has an accurate understanding of the financial status of the Club at all times.

Duties:

  • keep the club’s books up-to-date
  • keep a proper record of all payments and monies received
  • make sure financial reports are available and understood at board meetings
  • show evidence that money received is banked and documentation provided for all money paid out
  • ensure that an IRS tax return and State of Connecticut business registry filing through CONCORD system is prepared each year
  • give Treasurer’s report at regular meetings and when required
  • produce an annual financial report
  • pay the invoices in a timely manner
  • check PO Box
  • send tournament fees and certificates of insurance to hosting program
  • work with VP on fund raising
  • work with executive board to hire coaches 
  • communicate status of head and assistant coaches’ US Lacrosse background checks and certification requirements
  • Thank donors for corporate sponsorships
  • Confirm annual insurance coverage
  • review and make recommendations regarding fees
  • notify registrars and VP of members’ balances due to NMYL. 
  • prepare annual report to club members at the Annual General Meeting (AGM) to include revenue such as fund raising activities, donations, fees and expenses

Knowledge and skills required:

  • well organized 
  • able to dedicate appropriate time to maintain the books
  • able to keep good records
  • able to work in a logical orderly manner
  • Work with auditor in the event of financial audit
  • must have knowledge of QuickBooks and Excel
  • excellent communications skills required
  • accounting or book-keeping experienced preferred

Accountability:

The Treasurer is accountable to the President and the Executive Officers

 

Assistant Treasurer (non-voting)

 

The Assistant Treasurer is a role designed to learn the functions of club Treasurer so he/she can assume the voting Treasurer position in the future.

Objective: Assist the Treasurer in reconciling accounts, recording deposits, tracking accounts payable, etc..

Duties:

  • Assist Treasurer with Excel files, learn Quickbooks
  • Attend board meetings when available

Secretary (voting)

  • Record minutes of NMYL meetings and ensure that they are accurate and they are approved by NMYL Board members
  • Noting motions and approval of any changes / motions going forward
  • Confirms that all coordinators have reports and documentation to the Board
  • Keep a copy of the final approved minutes and ensure that this copy is maintained in the corporate records
  • Maintain records of the organization. These records may include various documents (TBD), list of directors, board and committee meeting minutes, financial reports, and other office records
  • Ensure that an up-to-date copy of the bylaws is available at all meetings
  • Provide all notices of upcoming NMYL meetings
  • Prepare agenda for NMYL meetings
  • Participate in meetings as a voting member
  • Coordinate annual end of season picnic

Junior Girls Referee Assignor (non-voting, non-board)

Requirements: Must have the ability to effectively communicate with the league and referees. Must be able to organize and assign junior (High School aged) referees in a timely manner.

 

Function: To assign youth officials to 10U and 12U games for home games. Maintain list of town field evaluation events and work with those town official coordinators to reserve officials for NMYL games

Club Duties:

  • Maintain a list of eligible and certified officials within assignor's area.
  • Select and assign referees to home games. Confirm weekly assignments on Sunday evenings
  • Promptly notify all parties of any change or cancellation of game assignments.
  • Compile referee assignment list for payment purposes.
  • Provide feedback to the local referee administrator regarding referee reliability on assignments.
  • Request education assessments and evaluations of referees.

Boys Registrar (non-voting)

  • Coordinate on-line boys registration process for Spring season, as well as Fall/Winter clinics
  • Run/attend in-person registration sessions each season if needed
  • Set up teams and rosters in League Athletics site
  • Ensure NMYL site updates CONNY site
  • Create on-line registrations/revise registration forms/flyers for in-person registration
  • Submit CONNY and non-CONNY tournament rosters to tournament organizers
  • Collect outstanding registration fees
  • Collect birth certificates/pictures as needed
  • Distribute approved rosters to coaches
  • Attend try-outs
  • Attend coaches meetings

Girls Registrar (non-voting)

  • Coordinate on-line girls registration process for Spring season, as well as Fall/Winter clinics
  • Create advertising flyers and Run/attend in-person registration sessions each season if needed
  • Set up teams and rosters in League Athletics site
  • Ensure NMYL site updates CONNY site
  • Create on-line registrations/revise registration forms/flyers for in-person registration
  • Submit CONNY and non-CONNY tournament rosters to tournament organizers
  • Collect outstanding registration fees
  • Collect birth certificates/pictures as needed

  • Contact CONNY for tier declaration of teams and level of play (7 Silver, 8 Green, 7/8 Silver, etc) 
  • Attend CONNY meetings when required and report back to board
  • Help to coordinate practice times and training
  • Evaluate what is needed for equipment & Forward equipment needed for teams to equipment manager.
  • Assist registrar and uniform coordinator as needed with uniforms
  • Create schedule for all boys’ teams or delegate responsibility to coaches/scheduler(s)

April:

  • Assist coaches as needed with parent/coaches meeting
  • Coordinate picture times/location in the Spring.

During Season:

  • Deal with on/off field issues in regards to players, coaching and parents.
  • Contact to other board members about disciplinary issues as needed.
  • ***First line of contact for on the field issues
  • Contact to coaches as needed pre/post and during season.

November:

  • Organize Winter training if needed, or coordinate with CSA

Field Coordinator (non-voting)

  • Setup fields with volunteers for upcoming lacrosse season
  • Obtain the proper field permits, insurance certificates and invoices
  • Develop field lining and maintenance schedule
  • Monitor field maintenance supplies at Baldwin Park. Relay information to Board so additional supplies can be purchased when required
  • Maintain fields for minor repairs (e.g. reseeding and filling in holes / divots)
  • Liaise with Canterbury, Gunnery, New Milford Public Schools and Parks & Recreation. Forward all field rental pricing information to Treasurer

Uniform Coordinator (non-voting)

  • Collect all travel uniform orders from registrars
  • Submit orders to uniform vendor
  • Pick up orders
  • Separate and bag individual uniforms
  • Distribute uniforms
  • Track jersey numbers to avoid duplicates
  • Obtain quotes for new uniforms as needed
  • Order practice pinnies if needed

 

Website Design (non-voting)

  • Facilitate the use of the NMYL website by authorized users
  • Annually evaluate web/app options for club use
  • Keep club information up-to-date on both website and Facebook page
  • Assist the registrars in creation and updating of NMYL registration forms / information on-line
  • Ensure annual hosting invoice is received by treasurer for payment
  • Send out blast emails to members to communicate important club information

At-Large Board seat (non-voting)

  • Provide a positive and fun lacrosse development program to all NMYL players and coaches
  • To communicate thru monthly newsletter lacrosse education (e.g. nutrition, fitness, stretching, skill set, rules of boys and girls game, local lacrosse events, coaching courses and Club fundraisers)
  • Assist in coaching clinics
  • Influence friends and neighbors to give lacrosse a try and foster a positive atmosphere in the New Milford area towards lacrosse
  • Assist fellow Board members and the Club in any way possible

Girls and Boys Scheduler (non-voting)

  • Assist coaches or boys/girls coordinators in scheduling scrimmages/games with other towns
  • Manage game requests and work closely with field coordinator
  • Must have strong communication skills and a positive attitude
